Release and Mapping of the NCDB COVID Fields

Test

As you are aware, earlier this year ONCOLog 4.5.0 was released.  As an optional add-on, we offered a set of fields in the Primary Supplemental section of the abstract related to the impact of COVID on patient care.  With COVID affecting most communities in March of 2020, we wanted to ensure our clients had a location to document the delays related to COVID for quality studies and the effect the delays may have on stage at diagnosis.  We understood at the time that it was likely NAACCR, NCDB, SEER, and other governing bodies may come out with their own way of documenting COVID delays but with the likelihood that it may not be timely enough for  CTR’s to abstract when they’re first touching the case.

As expected, both NAACCR and SEER have released guidance for documenting COVID delays.  SEER has asked that COVID delays be documented in the various COMMENTS sections.  The link to review the SEER requirements is located here.

The NCDB has also released guidance as their new fields will be included in the 2021 updates of the STORE manual (for diagnosis effective 1/1/20 through 12/31/21).  The 4 new fields have been identified as:

  • 3943: NCDB–SARSCoV2–Test
  • 3944: NCDB–SARSCoV2–Pos
  • 3945: NCDB–SARSCoV2–Pos Date
  • 3946: NCDB–COVID19–Tx Impact

Please see the NAACCR Data Dictionary v21 for further details regarding the fields themselves and their corresponding look-ups.  Located here.

Understanding that many of our clients have already started to code in the fields we provided as part of ONCOLog 4.5.0, Novy Tan, our Director of Application Services, identified a cross-walk to map our ONCOLog COVID fields to the NCDB COVID Fields.  We have illustrated the mapping here.

With the release of 4.6.0 and the v21 fields early in 2021, we can provide clients this mapping to hopefully avoid having to revisit these fields in the 2020 charts that have been completed.

At ONCO, we always have our clients in mind as we develop new fields, new functionality, and new features. If you chose to use our COVID fields, we hope this process has saved your CTR’s valuable time.
